City Pirates: less administration, more time with the members

An Antwerp football club that works as a social platform: parents, children, young people and volunteers working towards a better city, in six districts, with 1,645 members, 215 volunteers and 4,000 children on the waiting list. We are building the application that supports its social workers.

The story in five steps

From business problem to time to value.

01Business problem

The club's social workers support members day and night with problems they cannot solve on their own. In the evening, at home, they log the cases, follow-ups and meetings in a spreadsheet. At the end of the month the spreadsheets are merged by hand into reports for the club's management, the city and the regional governments and the organisations whose subsidies keep the club running.

02Intervention

Together with City Pirates we are developing an application in which every social worker registers activities in one database. We started from the reporting the club owes its funders and from what the social workers actually do during a day, and derived the data requirements and the data set from that.

03Role of data & AI

Subsidies are essential to the club, and reporting on them is how the club shows the money is well spent. That only works if every activity is registered once, correctly, in a single source of truth. The application itself is being built with AI. Once it runs, we will look at where AI can support the information chain, from registration to report.

04Adoption

Two social workers act as key users: they help define the requirements, test the application, train their colleagues and are the first line of support.

05Measurable impact

Social workers register their activities in real time, during the day, instead of reconstructing them at home in the evening. The data is more accurate, and the evenings go back to the members. The monthly reporting drops from a day of the CEO's time to about an hour, time that goes to running the club and keeping it financially healthy.
