What we collect on this website, what we do with it and what you can ask us.

Who we are

Heartwood Holding BV, Abdijdreef 14, 3070 Kortenberg, Belgium (BE 1018.346.382), is responsible for the personal data described on this page. For any question about it, or to exercise one of the rights below, write to info@hazelheartwood.com.

This policy covers this website and the people who contact us through it or apply for a job with us. Personal data we handle inside a client engagement is governed by the contract and the data processing agreement with that client, who stays the controller of it.

What we collect

This site has no forms, no accounts and no newsletter, so there is little to collect. Three things reach us: the technical logs kept by our hosting provider (IP address, browser type, the pages requested and the time of the request), whatever you choose to put in an email to us and the CV and motivation of anyone applying for a job.

No cookies, no tracking

This website sets no cookies, runs no analytics and carries no advertising or social media trackers. There is nothing to accept or decline, which is why you will not find a cookie banner. Links to other sites, such as our LinkedIn page, are ordinary links: once you follow one, that site’s own policy applies.

We do not use anything collected here to train AI models.

Why we process it

Technical logs: our legitimate interest in keeping this site available and secure. Email correspondence: our legitimate interest in answering you, and the steps preceding a possible contract. Applications: the steps preceding a possible employment contract.

How long we keep it

Technical logs stay only as long as our hosting provider needs them to keep the site secure and to investigate problems. Email correspondence stays as long as the conversation or the relationship is live, and after that only where the law requires it. An application stays for the length of the selection process, and longer only if you agree to it.

Who else sees it

Our hosting provider and our email provider process data on our behalf, on our instructions and under a written agreement. We do not sell personal data and we do not share it for advertising.

We keep data inside the European Economic Area. Where a provider processes data outside it, that transfer is covered by the European Commission’s standard contractual clauses.

Your rights

You can ask us for a copy of your data, have it corrected or erased, restrict or object to what we do with it and receive it in a portable form. Write to us and we answer within a month.

If our answer does not satisfy you, you can lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels, contact@apd-gba.be.

We update this page whenever the way we handle data changes. Last updated: August 2026.
